The way companies in Germany issue, receive, and process invoices is undergoing a fundamental change. With the mandatory adoption of e-invoicing, the era of simple PDF invoices sent by email is coming to an end—and a new, structured format is becoming the standard. What many still perceive as a distant future actually affects nearly every company doing business in Germany.

What exactly is an e-bill?

An e-invoice is not a scanned invoice or one sent as a PDF. It is a structured, machine-readable data format that can be automatically generated, verified, sent, and processed—without manual data entry or media breaks. The most common standards in Germany are XRechnung and ZUGFeRD, supplemented by the European Peppol network for cross-border invoice exchange.

At first glance, the difference may seem technical, but it has very practical implications: An e-invoice can be imported directly into accounting systems, verified automatically, and paid more quickly. For businesses, this means less manual work, fewer errors, and faster payment processes.

Who is affected—and when does it take effect?

The transition will take place in clearly defined steps:

Starting in 2025, companies in Germany will be required to be able to receive e-invoices. This applies to virtually every B2B company, regardless of size or industry.

Starting January 1, 2027, sending e-invoices will be mandatory for larger companies.

Starting in 2028, the shipping requirement will apply to nearly all companies in the B2B sector.

Starting in 2030, additional EU-wide reporting requirements will be introduced that link invoice data directly to tax authorities.

Anyone who thinks they still have time is underestimating the effort involved in the transition. Existing invoicing processes, ERP integrations, and internal workflows must be adapted—and that requires lead time, not just an overnight software switch.

More Than Just a Legal Obligation

It’s worth looking at e-invoicing as more than just a regulatory hurdle. When implemented correctly, it serves as the first step toward a fully digitized order-to-cash process: from invoicing and automated verification to faster payment processing. Companies that embrace this transformation early on not only reduce compliance risks but also achieve noticeable gains in efficiency in their day-to-day operations.

The challenge rarely lies in understanding the legal requirements themselves, but rather in their practical implementation: Which format is best suited to our system environment? How can the transition be managed without disrupting ongoing operations? And how can the process remain stable and audit-compliant even as the volume of invoices grows?

The Right Path for Your Business

Depending on the industry, company size, and existing IT infrastructure, the best approaches to e-invoicing vary. For public sector clients, XRechnung has been mandatory since 2020. Other companies rely on ZUGFeRD, which combines a visual PDF invoice section with structured data. The Peppol network is becoming increasingly important for Europe-wide invoice exchange.

nexnet guides companies through this very transition—from assessing current processes to selecting the right format and implementing a fully automated, standards-compliant solution. The existing system landscape remains intact: e-invoicing is seamlessly integrated into existing ERP and accounting processes rather than replacing them.
